El presente proyecto se basó en el análisis, diseño e implementación de un Sistema de Gestión Documental que permita conocer el estado de los diferentes trámites estudiantiles que son ingresados en el Departamento de Secretaría General. La implementación del Sistema de Gestión Documental ayudó a mejorar y agilizar el flujo de los trámites en los tiempos establecidos, además de evitar que los estudiantes desconozcan en qué estado y lugar en donde se encuentran sus trámites. Se usó una herramienta BPM (Business Process Management), ayudó al diseño y construcción de los procesos con el propósito de mejorar el flujo de las solicitudes ingresadas y dar una ayuda al personal administrativo de la institución. Los procesos están diseñados e instalados en la herramienta Bonita BPM que ayuda a la gestión de procesos de negocio. Como aporte adicional se ha desarrollado un sitio web para los estudiantes, con el propósito de consultar el estado de sus trámites. El proyecto cubre todas las etapas de desarrollo del sistema desde el Análisis, Diseño, Desarrollo, Implementación, Capacitación y Pruebas de la solución.
This project was based on the analysis, design and implementation of a Document Management System that allow knowing the status of the different student procedures that are admitted to the Department of General Secretariat. The implementation of the Document Management System helped improve and streamline them formalities on schedule, besides to avoid those students not to know the state and place of their formalities. BPM (Business Process Management) tool was used, because it helped design and construction process in order to help the administrative staff of the institution. Processes are designed and installed in Bonita BPM tool that helps the business process management. As an additional contribution it has developed a website for students, in order to consult the status of their formalities. The project covers all stages of system development from the Analysis, Design, Development, Implementation, Training and Testing of the solution.
